From “many hours” to “about 30 minutes” for port clearance
Port clearance rarely gets attention. Yet it quietly consumes time, focus, and energy, especially in short sea operations where port calls come fast and routines need to hold up under pressure.
For Amasus, port clearance used to live in local requirements, email threads, and manual handovers. The process worked, but it often pulled people into chasing updates and aligning versions at the wrong moments.
After moving port clearance into Port Mate, Amasus saw a clear operational shift. What used to take many hours can now often be completed in about 30 minutes. More importantly, the workflow became more predictable, with fewer interruptions for crew and office teams.
Quick facts
Segment: Short sea operations (high port call frequency)
Before: Local forms + email back and forth + manual handovers
After: A structured workflow connecting ship, agent, and office
Result: Less admin, faster turnaround, and more operational headspace
Below is the conversation with Amasus: 3 questions – 3 answers
(1) Why did you decide to try Port Mate and how did you handle port clearance before?
We are always looking to improve. Thanks to our regular brainstorming sessions with stakeholders, especially with our seafarers, we learned about trials with Port Mate.
Previously, we worked with local forms, manually filled, emailed back and forth. It was quite a chase between vessel, port and office.
(2) How did the implementation go, and how did the crew react?
Very straightforward! CFARER supported us with onboarding, uploading certificates and setting up the system correctly.
A few captains were sceptical at first, but once they got used to the workflow, most of the crew found it simple, intuitive and clearly easier than the old way. We were saving precious time!
(3) What has changed in your day-to-day port calls?
Preparing port clearance documents now usually takes about 30 minutes or less, instead of many hours before. Port turnarounds are faster and safer now. Captains spend less time on port clearances. They get more time for their actual job – and for rest.
The wider shift in port compliance
Manual processes no longer keep up. And with the Maritime Single Window now mandatory worldwide under the IMO FAL Convention, digital pre-arrival submissions have become the norm, while the responsibility for accuracy still sits squarely with the crew on the bridge.
CFARER builds tools that take weight off the crew.
Port Mate gives shipping companies a steady, predictable way to handle port clearance across thousands of ports, without drift, without stress, without the paperwork grind.
Making Maritime Life Easier – so captains can lead, crews can rest, and operations keep their rhythm.
